Flag types
These are the six issues Alaan automatically detects in V1.
Flag types | What it means | Why it matters | What to do |
AI-Generated Image | The receipt appears to be digitally generated instead of a real photo. | May indicate fraudulent documentation. | Request a valid receipt or investigate further. |
Out of Policy (Admins & Accountants only) | The expense does not meet your company’s submission policy. | Ensures compliance with internal controls. | Ask the employee to correct the submission, or update the policy (if needed) |
Tax Invoice Required | A valid tax invoice is missing for a VAT-eligible expense. | Without it, your company may not be able to reclaim VAT. | Request a valid tax invoice from the employee. |
Receipt Mismatch | The receipt details (amount or date) don’t match the transaction. | Could indicate an error or a discrepancy that needs explanation. | Ask the employee to verify and resubmit the correct receipt. |
Alcohol / Tobacco | The transaction includes alcohol or tobacco-related charges. | Helps enforce company-specific spending policies. | Review based on your company policy (approve, reject, or request a split). |

Q: How can I manage the flags?
Go to Manage Flags to:
Enable or disable specific flags
Control what appears in your workspace
Note: Flags with no matching expenses are hidden from filters. They remain available in settings
Q: Why don’t I see certain flags?
Flags only appear in filters when there are matching expenses. You can still manage them in Manage Flags.
Q: Can I customize which flags are shown?
Yes. You can turn specific flags on or off anytime.
Q: Can employees see flags?
Yes. Employees can see flags on their own expenses along with guidance on how to fix them.
Q: What if we need a new type of flag?
You can suggest new flags based on your workflows. Alaan continuously improves detection based on customer feedback.
